Successful implementation of authorizations at Moooi B.V.
Recently, 2-Control B.V. has once again successfully implemented authorizations in the software package Microsoft Dynamics NAV™ (hereafter called Navision©). This time at Moooi B.V. Since 5 years, Moooi B.V. is a strongly growing producer and wholesaler of among others furniture and lighting and has positioned itself at the upper side of the design market.
Moooi B.V. uses Navision since 2005. As with many other companies, until now all users had all permissions in Navision. Because of the increasing number of users (climbing up to almost 20), the need and necessity arose to limit the permissions of employees. On the one hand from the perspective of segregation of duties, but on the other hand also for protection of the users themselves: In Navision, mutations are often processed very easy and unnoticed. With reference to our specialization and extensive experience in implementing authorizations in Navision, Moooi B.V. requested us to implement the authorizations in their environment as well.
For the implementation of authorizations, 2-Control B.V. uses a standard approach with four phases: preparation, design, setup and implementation. During the preparation, we create a project plan in cooperation with the customer, with amongst others a detailed planning, the needed employees and various conventions. The authorizations are always set up in a separate test environment which is created during preparation. After defining good and clear work agreements, in the design phase is decided which tasks and responsibilities have to be set up in Navision, based on the organization structure, the (existing) processes and procedures and the desired segregation of duties. (Clearly) Missing processes and/or procedures are, in consideration, created or are (still) delivered by the customer. During the setup and implementation phases, 2-Control creates the authorizations in cooperation with the relevant users. By using advanced audit tools during the setting up of authorizations, we guarantee that possible function conflicts and/or other authorization risks are immediately spotted and mitigated. Possible "rest risks" are always discussed with the customer and solved. The authorizations are, of course with the necessary fall back measures, only set up in the live environment after a thorough user acceptance test. By our structural aftercare is furthermore guaranteed that, after going live, possible authorization problems are solved immediately and that the needed knowledge for maintaining and controlling the authorizations is transferred adequately to the organization.
During the implementation at Moooi B.V. the standard phases are exactly followed. Moooi B.V. had practically all processes and procedures adequately worked out. Missing procedures, such as the processing of packaging orders, were worked out together. The authorization project was finished exactly within the agreed time schedule and without any obstacles.
All in all, once again can be spoken of a successful authorization project and according to the words of the management assistant: “Quick, efficient, accurate and customer-friendly settled. 2-Control is our pillar for all specific questions about Navision and for improving our processes within the system.”
